VENDOR TERMS, CONDITIONS, PRICING & PARTICIPATION
Jamz & Jokes 2026 Inaugural Concert Series
By submitting a vendor application for the Taste of NWI & Jamz & Jokes Concert Series 2026, the vendor agrees to all terms, conditions, pricing, and policies outlined below.
VENDOR TERMS & CONDITIONS
- APPLICATION & APPROVAL
Submission of an application does not guarantee acceptance. All vendors are subject to approval by event management. Vendor spaces are limited and assigned at the sole discretion of the producer. Event management reserves the right to decline any vendor for any reason. - PAYMENT & FEES
Vendor fees are due in full upon approval unless otherwise stated in writing. All vendor fees are final and non-refundable for any reason, including but not limited to cancellations, no-shows, weather conditions, illness, travel issues, or removal for non-compliance. Vendor spaces are limited, and once a space is reserved, it is removed from inventory and cannot be resold. No portion of vendor fees will be refunded or credited under any circumstances. Vendor pricing is fixed and non-negotiable. - SETUP & EQUIPMENT
The producer and venue do not provide tables, chairs, canopies/tents, or power. Vendors are solely responsible for supplying all tables, chairs, tents/canopies, weights, signage, generators (if applicable), and equipment needed to operate within their assigned space. Vendors must be fully self-contained. All tents/canopies must be properly secured and compliant with safety requirements. Setup and breakdown schedules will be provided prior to each event and must be followed. - POWER & GENERATORS
Electricity is not provided. Vendors using generators must ensure they are quiet, properly secured, fuel safe, and do not interfere with neighboring vendors or attendees. Event management reserves the right to shut down any unsafe or disruptive generator. - FOOD TRUCK REQUIREMENTS
Food vendors must comply with all local, county, and state health regulations. Required permits and licenses must be available upon request. Food trucks retain 100% of their sales. Generators must meet all safety requirements. - CRAFT & RETAIL VENDORS
Vendors are responsible for all merchandise, displays, staffing, and transactions. Sale of illegal, offensive, counterfeit, or prohibited items is strictly prohibited. Electricity is not available. - NONPROFIT VENDORS
Nonprofit rates are available to verified 501(c)(3) organizations only. Participation is limited to
informational and awareness-based engagement. Commercial sales are not permitted. Donations are allowed. Nonprofit vendors must comply with all set-up and space requirements. - VENDOR SPACE ALLOCATION & USE
Each vendor is provided one (1) standard 10 ft x 10 ft (10’x10′) space. All vendor activity including tents, tables, signage, displays, storage, staff, generators, and equipment, must remain entirely within the assigned space. Vendors requiring additional space must purchase an additional 10×10 space at the applicable vendor rate. Additional spaces are subject to availability and must be purchased in advance. On-site space upgrades are not guaranteed. Vendors may not encroach into neighboring spaces, walkways, fire lanes, or common areas. Event management reserves the right to enforce space boundaries and require immediate correction. Vendors who exceed their allotted space or fail to comply may be removed without refund and/or disqualified from future events. - WEATHER & FORCE MAJEURE
Events are rain or shine unless otherwise determined by event management. Vendor fees will not be refunded due to weather-related conditions. The producer is not responsible for delays or cancellations caused by circumstances beyond reasonable control. - LIABILITY & INSURANCE
Vendors participate at their own risk. The producer, venue, and affiliated parties are not responsible for loss, theft, or damage to vendor property. Vendors are responsible for their own insurance coverage, if applicable. Vendors agree to indemnify and hold harmless the producer, venue, and affiliated parties. - CONDUCT & COMPLIANCE
Vendors must maintain a professional and respectful presence at all times. Event management reserves the right to remove any vendor for unsafe, disruptive, or non-compliant behavior without refund. Vendors must remain within their assigned space during event hours. - CLEAN-UP RESPONSIBILITY
Vendors are responsible for keeping their area clean and removing all trash, grease, and materials at load-out. Dumping on-site is prohibited. - NO EXCLUSIVITY
Vendor participation does not guarantee exclusivity. Event management reserves the right to place vendors offering similar products or services. - BRAND & MEDIA
The producer reserves the right to photograph and record the event for promotional purposes. Vendor participation constitutes consent to appear in event-related media. - FINAL AUTHORITY
All decisions by event management are final. These terms and conditions are subject to change without notice.
VENDOR LOAD-IN & LOAD-OUT POLICY
LOAD-IN: Load-in begins at 6:00 AM. All vendors must be fully set up before gates open. Early arrivals are not permitted. Vendor vehicles must be removed from vendor areas once setup is complete unless otherwise approved.
LOAD-OUT: Load-out begins at 10:00 PM and must be completed by 12:00 AM (midnight). Vendors may not break down during active event hours. Early teardown is not permitted without prior approval.
IMPORTANT NOTES
Vendor vehicles are not allowed in pedestrian areas during event hours. Failure to comply may result in removal without refund, disqualification from future events, and towing of the vehicle at the
owner’s expense.
Free off-site parking and shuttle service will be available for vendors and attendees at designated
locations, including the Dean & Barbara White Community Center, Merrillville High School, and additional approved parking areas surrounding Hidden Lake Park. Shuttle routes and schedules will be provided prior to the event.
